Privacy Policy
1. About this policy
Gate 2 NZ Limited (NZBN 9429032424867) provides New Zealand immigration advice through licensed immigration advisers. Our address is Unit D3, 27‑29 William Pickering Drive, Rosedale, Auckland 0632, New Zealand.
This policy explains how we collect, use, store and share personal information when you use our website (gate2nz.co.nz), including the GATE Q&A service, and when you contact us or become our client. We follow the New Zealand Privacy Act 2020. It applies to the personal information we hold wherever you are located.
2. What we collect
GATE Q&A service
- The questions you type and the answers our system gives you.
- Before your question is stored or sent anywhere, our system automatically hides (masks) email addresses, phone numbers, passport numbers, IRD numbers and New Zealand bank account numbers. We store only the masked text.
- We do not ask for your name or contact details in the Q&A service. Masking does not catch everything, so please do not type names, contact details, information about other people, or sensitive details such as health or criminal history.
“Ask an adviser” form
- Your name, email address and message.
- If you choose, the questions you asked in the Q&A service during the same visit and the answers you received (in masked form).
If you become our client
The information we need to advise you and to prepare and manage your immigration matter, as described in our written service agreement with you.
Technical information
Our hosting provider, Cloudflare, processes your IP address and basic request information to deliver and protect the website. Our Q&A system does not record IP addresses. We keep anonymous daily totals (such as the number of questions asked) to manage the service and its costs.
3. Why we collect it and how we use it
- To give general information in response to your questions.
- To reply to your enquiry and pass it to one of our licensed immigration advisers.
- To check the quality of answers and to find errors or misuse of the Q&A service.
- To provide our immigration services if you engage us.
- To meet our legal and professional obligations.
Answers in the GATE Q&A service are general information prepared by artificial intelligence (AI) from publicly available New Zealand immigration rules. They are not immigration advice about your personal situation.
4. Your choices
No law requires you to give us this information. If you do not type a question, you cannot use the Q&A service. If you do not give us your name and email address, we cannot reply to you. There are no other consequences.
5. Who we share it with
We use the following service providers. They process the information on our behalf.
| Provider | What they receive | Why | Where |
|---|---|---|---|
| Anthropic, PBC | Your masked question | To generate the general-information answer | United States |
| OpenAI | Your masked question and the draft answer | An automated check of the draft answer before it is shown | United States |
| Cloudflare, Inc. | All information sent through the website, and the stored Q&A records | Website hosting, security and storage | Global network; data centres may be outside New Zealand |
| Microsoft (Microsoft 365) | Your name, email address, masked message, and the masked Q&A questions and answers you chose to send | Sending your enquiry to our advisers' mailboxes, and our email generally | Australia (stored data) |
Under their published business terms, Anthropic and OpenAI do not use this information to train their AI models by default. They may keep it for a limited period (generally up to 30 days) for safety and misuse monitoring, and longer where the law requires it.
We do not sell personal information. We do not send the contents of the “Ask an adviser” form to any AI service.
We may also share personal information:
- with Immigration New Zealand and other parties involved in your immigration matter, if you are our client and have authorised us to act for you;
- with JL Partners Chartered Accountants, our associated accounting practice, only if you ask us to or agree to it;
- where the law requires or allows us to.
6. Sending information overseas
Some of our providers are outside New Zealand (see section 5). These overseas providers may not be required to protect your information in a way that, overall, provides comparable safeguards to those in the New Zealand Privacy Act 2020. Before you use the Q&A service, we ask you to confirm that you agree to your question being sent overseas for this purpose.
7. How long we keep it
- Q&A conversations you do not send to an adviser: deleted automatically after 30 days.
- Enquiries sent through the “Ask an adviser” form (including any Q&A conversation you chose to send): kept for up to 12 months, including the copies in our email system, and then deleted, unless you become our client.
- Client files: once an adviser gives you immigration advice, your information forms part of your client file. We must keep client files for at least seven years after the file is closed (Licensed Immigration Advisers Code of Conduct 2014, clause 26(e)).
- Anonymous statistics that cannot identify you may be kept longer.
8. How we protect it
- All connections to the website are encrypted (HTTPS).
- Q&A text is masked before it is stored or sent, and the unmasked text is not stored.
- Access to stored records and enquiry emails is limited to people who need it.
- If a privacy breach is likely to cause serious harm, we will notify you and the Privacy Commissioner as the Privacy Act 2020 requires.
9. Cookies and browser storage
We do not use advertising or analytics cookies. The Q&A service remembers that you ticked the consent box in your browser's session storage, which is cleared when you close the tab. To keep the service fair for everyone, it also keeps a daily question count in your browser's local storage. This holds only the date and a number, not your questions or any personal information, and it is never sent to us; you can clear it at any time through your browser settings. Your conversation reference is kept only in the open page. Cloudflare may set strictly necessary cookies to protect the website.
10. Information about other people
Please do not give us information about other people (for example, family members or an employer) through the website. If you are our client and give us information about your family members for your immigration matter, please let them know, and we will take reasonable steps to make sure they are aware of how we use it.
11. Your rights to access and correct your information
You can ask for a copy of the personal information we hold about you, and ask us to correct it. Contact our Privacy Officer (section 13). We may need to confirm your identity first. We will respond as soon as reasonably practicable, and no later than 20 working days after we receive your request. If we do not agree to correct your information, you can ask us to attach a statement of the correction you asked for.
12. Complaints
If you have a concern about how we have handled your personal information, please contact our Privacy Officer first. If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner:www.privacy.org.nz, phone 0800 803 909.
